There is a security hole caused by old user accounts that often gets left unnoticed that is easy to fix with a simple process.
When a member of staff starts working at your company, there are often many things that need setting up such as
- Computer user account
- Email access
- VPN access
- Access to hosted files (do you use dropbox?)
- An iCloud account?
- Many portals for business software, procurement, HR etc
There is often a process for this as part of the staff induction, or “onboarding” as its commonly known.
When an employee leaves, the same structure doesn’t always apply to reverse that work and close off access to any and all items that the user had access to.
With a simple process, which in effect uses the same tick list with a “turn off” function rather than “turn on” you can ensure that as part of the HR process for an employee leaving, you aren’t leaving yourselves open to the incorrect or inappropriate accessing of your data.
If you don’t have your own in-house IT function and you do outsource, then make sure that you have this process in place with them and that you have an SLA attached to it that ensures employee access happens fast when someone leaves.
